  • Overview

    ZENETEX specializes in management and technology support services for a variety of federal agencies and commercial organizations. We have an opportunity for an Document Control Specialist to support in upcoming contract at Patuxent River, MD

    Primary Duties and Responsibilities

    • Provides Document Control/Registry Operations support at facilities.

    • Establishes, populates, and maintains an automated document/media control database for accountability and tracking purposes. This database shall record receipt/dispatch, location, responsible individual, and disposition of document and media IAW office SOP and applicable security references and guidelines.

    • Receives and establishes control and accountability for all incoming material and media, received via US Postal Service, designated courier, secure communications (secure fax), or electronic means (LAN/WAN), to include classified material/media.

    • Transmits/dispatches material via the US Postal Service, designated courier, secure communications (fax) or electronic means (LAN/WAN) IAW SOP and applicable security references and guidelines.

    • Provides barcodes and coversheets and reviews material to ensure proper classification markings/labeling of material/media to include page counts, copy numbers, derivative/declassification markings.

    • Coordinates collection and implements destruction of classified material/media on regular basis, IAW SOP and security references. Shall maintain receipts in accordance with DoD directives.

    • Archives material, documents, and media as required, to include digitally scanning hard-copy into electronic storage systems and shall maintain receipt system IAW SOP and security references.

    • Verifies the security clearances and need-to-know of all classified material custodians before material is released.

    • Verifies the authorized storage capability of all intended recipients of classified material being transmitted by US Postal Service, designated courier, secure communications, or electronic means.

    • Prepares and transmits material to intended recipients, and is responsible for tracking of material to intended recipients.

    • Prepares all receipts and required documentation for transmittal of material/media via US Mail, secure communications, or designated courier. This includes preparing external transfer and package receipts, mailing labels and envelopes, and fax transmission and registered mail receipts.

    • Initiates tracer notices for material/media transmitted to other facilities.

    • Conducts annual inventories of all classified material and maintains inventory reports in accordance with security references and guidelines.

    • Maintains and updates internal databases with facility and custodian information as required by SOP and security references.

    • Prepares reports (i.e., material reports by storage containers, document history, custodian lists, audit trails, etc) as required.

    • Provide support for other duties as required.

    Education and Experience Requirements

    • High School Diploma or equivalent
    • Working knowledge of receipt and dispatch of documents/media control
    • Working knowledge of facility accreditation process and procedures
    • Familiar with transmission of documents via classified methods     
    • Two years working in a DoD security environment (Military, Government Civilian, or DoD contractor - experience must be within the past five (5) years
    • Working knowledge of security manuals, directives, and Executive Orders (NISPOM, JAFAN series, Govt Instructions, etc.)
    • Proficient with Windows applications (Microsoft Word, Excel, PowerPoint, and database applications)

    Security Clearance

    • This position will require U.S. citizenship and a Top-Secret security clearance based on a current SSBI
