Develop and, upon management approval, implement a detailed plan for the overall management of the program office. Provide support in planning, tracking, scheduling, briefing preparation, correspondence, documentation preparation, and complete all required staff/cross-team coordination to accomplish this task. Provide support for all internal and external reports, data calls, requests for information, including but not limited to recurring reports such as Congressional, Mid-Year, PR/Program Objective Memorandums. Formatting/version control/maintain database of program office files to include but not limited to, program documentation, briefs/data calls. Maintain hard copy, electronic filing, and record keeping systems to facilitate retrieval and historical record maintenance as required by the customer or other pertinent entities. Analyze, make recommendations, facilitate, and report on: project management plans to include office moves, facilities design, and facility construction. Develop, review and update charters, memorandum of agreements, memorandum of understandings, and organizational charts. Enable more effective communications and organizations for the program and stakeholders.
Develop and implement detailed employee check-in and check-out processes, to include but not limited to, non-classified internet protocol router network (NIPRNet), secret internet protocol router network (SIPRNet), common access cards, related security paperwork, coordinator of configuration management board (CMB) and maintaining CMB meeting minutes and the associated approval packages.
Facilitate and participate in program level meetings, special advisory boards, off sites, working groups, audit teams, etc. Maintain accurate and detailed meeting minutes. Work closely with leadership to communicate priorities, policies, procedures, decisions, goals and issues. Prepare and maintain reports, and statistics related to the office or functional area. Provide cross-functional liaison support to resolve issues and conflicts at the lowest possible level,and minimize management involvement where possible.
Occasional (10%) travel is required for this position.
Required Experience and Skills:
Education: Bachelor's Degree from an accredited college or university. Experience cannot be substituted for education.
Experience: Candidate must have 10 or more years of experience in a program office environment.
Desired Experience and Skills:
Candidate should be proficient in all Microsoft Office products (Outlook, Word, Excel, and Power Point).
Candidate should have demonstrated good oral and written communication skills.
Candidate should be knowledgeable of Navy contracts, security and finance.
Candidate should have experience working in a dynamic, schedule constrained, complex security environment and have the ability to respond to drills with a short turnaround time.
Must have a current TS/SCI clearance
